Job overview

As a Senior Screening Administrator you will be working as a Team Leader for part of a large team for the Bowel Cancer Screening Programme based at QMC. This is a National Programme which currently invites people aged 56 – 74 year olds to take part in screening. Our Hub invites over 1 million people each year across the East lands and East of England to take part. We are currently ening the screening age to invite ALL those aged 50 - 54 by 2025, and we also proe a similar service to GPs across the East lands Area for symptomatic patients.

This is an exciting role with a lot of variety. You will be working across three different areas, all within our one department at QMC, where you will have the chance to develop skills that may be new to you. Your work in the Programme helps detect bowel problems and early cancers, because of this, we’re significantly increasing the detection rates in our area. The work you do saves lives. Main duties of the job

You have the opportunity to work across 3 areas throughout the week. These include:

Working in a laboratory - setting up the lab, sample reception, checking and logging of samples returned to the Hub, adhering to good laboratory practices.

Administration duties - including booking clinic appointments

Speaking with the public on a National Helpline, giving advice, reassurance and dealing with questions or queries regarding the Programme.

In addition to these areas, our SSAs work very closely as a team to ensure the general running of the programme is well maintained. You will oversee the Screening Administrators and Helpline Operatives (SAHOS) in the area you are covering and will advise them where necessary. You will alsomunicate regularly with fellow SSAs to produce staff rotas and support the Assistant Operational Manager in the planning of absences and by overseeing area cover, daily.

We hold full UKAS Accreditation and staff are required to adhere to strict policies and procedures.

Being able to conently speak to members of the public and liaise with Screening Centres regarding clinic appointments is a requirement. Being able to demonstrate empathy,passion and deal with distressing calls is a must.

Detailed job description and main responsibilities

Leadership

Leads a team of Screening Administrator & Helpline Operatives within the Bowel Cancer Screening Programme Hub

Supports the training of new team members in operational systems and departmental procedures and ensures staff reach requiredpetency levels and subsequently maintain this.

Prioritises daily tasks to achieve timescales as set

Oversees that the teampletes daily tasks efficiently and effectively.

Proes assistance to the Assistant Operational Manager in HR staff recruitment as directed.

Works closely with fellow Senior Screening Administrators and the Assistant Operational Manager through regularmunication to ensure the Programme is well maintained and will escalate any issues as they arise.

Proes first line management for annual leave monitoring.

Participates in appraisals, 1 to 1’s, and personal reviews and work to achieve agreed set objectives.

Proes appropriate cover in the absence of other members of the team.

Creates a weekly rota, ensuring that all areas have adequate cover.

Specialist Administration

Undertakes a range of specialist administrative duties associated with operating the BCSP call and recall system.

Ensures that the Ceasing Gelines are carefully administered in line with BCSP protocols

Ensures that returned mail is appropriately dealt with in line with BCSP protocols

Works with the Programme Manager to ensure a smooth flow of invitations to each screening centre that meets the programmes requirements and the capacity of the screening centres.

Assists the Operational and Quality Manager in maintaining and developing Standard Operating Procedures and other protocols for administrative tasks in the BCSP Hub according to department policy.

Monitors the performance and procedures of the mailing outsourcepany

Produces statistical and operational reports for the Hub and National Office as required.

Orders supplies and equipment whilst monitoring and maintaining stock levels

Takes minutes at department meetings as required.

Carries out audits for the department as directed by the Operational & Quality Manager. Is able to investigate and root cause internal and external errors.

Compiles non-clinical letters or emails as directed by the Senior Management Team. Supervises team dealing with daily letters and emails received into the department

Participates in the operation, routine maintenance and troubleshooting of equipment.

Checks Spine alerts and actions other alerts and fail safes in accordance with SOP.

Helpline and Communication

Proes help and advice to screening participants via the Bowel Cancer Screening helpline, and information on the screening programme to participants and other health care professionals.

Deals with telephone enquiries from service users in a calm and professional manner, participating in Helpdesk activities as required.

Ensures that the team proe aprehensivemunication service for users via the dedicated free helpline for all participants. Supplies advice and gance to the Screening Administrator & Helpline Operatives. Deals with the more challenging calls where necessary.

Ensures that key stakeholders, in particular screening centres, are regularlymunicated with.

Ensures adequatemunication regarding administration issues with other Pathology sections, including attendance at appropriate meetings

Laboratory Duties

Ensures that testing is carried out in line with BCSP protocols

Ensures that the result letters following testing are acted upon promptly and as per protocol

Ensures staffing is appropriate for the daily laboratory tasks. Proes adequate cover for sample reception duties.

Other Duties:

Able to prioritise own workload, ensuring that key tasks and deadlines are met and ensuringmunication is maintained with other Senior Screening Administrators. Use good judgment and initiative to prioritise tasks.

Ensures that safe working practices are following in accordance with local and Trust policies and procedures. Communicates Health & Safety information to the team via team meetings and emails, ensures that the Quality Management System is updated so all staff can access information when required.

Represents the Department at Health & Safety meetings trust e as directed.

Undertakes all aspects of stock management including the ordering and receiving of goods. Ensuring good stock maintenance in these areas.

Checks and processes invoices and records information accurately. Liaises with suppliers and NUH finance teams regarding the timely payment of invoices. Escalates concerns to the Assistant Operational Manager.

Is a member of the Operational Management Team. Attends and contributes to monthly team meetings.

Attends User Acceptance Training events run by NHS-Digital / NHS-England, and any other meetings as required.

Organises and books BCSS training for new starters, ensuring the correct access is requested. Ensures accesses are revoked when staff terminate their employment.

Assists with operational tasks for symptomatic FIT service.

Is able to be adaptable and respond to service needs and cover other areas at short notice depending on workload.
