Events & Reservations Coordinator
London HYBRID (2 days at home)
Hours: Monday to Friday, 8:30am–4:30pm
Events & Reservations Coordinator in London at a leading international professional services organisation who are seeking a candidate who has preferably used either EMS or Condeco / Eptura (or any room booking software)
A leading London law firm is looking for an Events Coordinator to support the planning and delivery of its internal events programme.
Working closely with teams across the firm, you will coordinate a varied calendar of employee events, including seminars, training sessions, networking events, town halls, social events and firm-wide celebrations. This is an in-house position with no external client event responsibility.
Responsibilities
Coordinating internal events from initial brief through to delivery
Managing event schedules, guest lists, invitations and attendee communications
Booking meeting rooms and internal event spaces
Liaising with catering, AV, facilities, security and reception teams
Arranging room layouts, refreshments, equipment and event materials
Supporting town halls, training sessions, networking events and staff celebrations
Preparing event timelines, checklists and briefing documents
Attending events to oversee set-up, delivery and breakdown
Managing internal event enquiries and responding to last-minute changes
Monitoring event costs and processing invoices and purchase orders
Gathering feedback and maintaining accurate event records
Supporting the wider marketing and business services teams when required
Requirements
Previous events, helpdesk or reservations experience
Strong organisational and administration skills
Confident managing several events and deadlines at once
Excellent written and verbal communication
Professional and comfortable dealing with senior stakeholders
Careful attention to detail
Good working knowledge of Microsoft Office and event or room-booking systems
Flexible approach, including occasional early mornings or evenings for events
