Role Overview:
We are looking for an Event Protocol Operations Manager to join our Events Operations team.
Main Duties and Responsibilities
Ceremonies and Protocol
Accountable for the delivery and execution of key F1 ceremonies and protocols during race weekends including but not limited to the Drivers Parade, Cool Down Room, National Anthem, and Podium Ceremonies
Implement and maintain standardised protocols for all key ceremonies from planning to execution to ensure continuity throughout the season, and a consistent high standard of delivery and seamless fan experience
Cultivate and manage relationships with all event promotors to ensure;
all necessary plans and documents are received from the promoter within designated timeframes before race weekends
all feedback is provided and amendments completed in a timely manner
any issues identified are raised and escalated through the correct channels
an accurate list of all dignitaries and performers is obtained to ensure correct accreditation is created
ensuring promoters have the correct insurance cover and/or indemnity documentation
Coordinate with internal stakeholders to ensure clear accountability for their deliverables
Work closely with key Formula 1 suppliers and partners such as FIA and Paddock Club Co-ordinator to maintain relationships and help facilitate seamless event execution
On-site rehearsals
Liase with internal and external stakeholders to ensure that all preparation for rehearsals have taken place, this includes orchestrating detailed preparation meetings, ensuring all necessary equipment and resources are in place, and conducting thorough pre-event testing protocols
Attend multiple rehearsals throughout the week with Promoters and other key stakeholders, reviewing all key ceremonial elements
Manage and coordinate any changes on-site, implementing any necessary adjustments and informing relevant individuals of changes
Live Event Management
Represent Formula 1 at the Master of Ceremonies Meeting to discuss and agree Driver’s Parade and Parc Femme protocol
Orchestrate various preparatory meetings on-site including, but not limited to; security arrangements for Drivers’ Parade and support races, Cool Down Room logistics, and comprehensive podium ceremony planning
Manage complex event logistics ensuring seamless execution of all ceremonial elements, such as directing the Driver’s Parade, coordinating trophy presentations, supervising performer positions, managing ceremonial equipment (plaques, plinths, flags), and maintaining precise Parc Fermé arrangements
Provide comprehensive briefings to trophy presenters on the protocol and procedure for handing out trophies
Develop clear, accurate scripts for commentators announcing both trophy presenters for the Podium Ceremony and National Anthem Dignitaries
Work at pace to effectively process and deliver on extra or last minute requests for driver signatures post-race, access requirements, equipment needs, and more
Who Are We Looking For?
Experience
Previous experience in large scale events, ideally Sports
Knowledge or experience of working with ceremonies and protocol
Personal qualities
Ability to interact effectively and communicate with a wide range of people and personalities, including external suppliers and third parties.
Ability to work under time constraints and pressure.
Ability to work unsupervised and to efficiently manage and prioritise your own workload whilst maintaining deadlines.
High level of accuracy and attention to detail.
High level of integrity and ability to maintain confidentiality.
A positive, can-do attitude with the ability to take ownership and responsibility, with an enterprising work ethic.
